Warehouse moves for online retailers

Moving an online shop's warehouse: stock and orders

A warehouse move must keep goods and stock records aligned. A delivered carton is not yet approved sellable stock, and an open order must not disappear when locations change. Plan the stock snapshot, movements and order handling together.

1. Agree scope, owners and operating windows

A moving date alone does not establish when orders can be processed reliably again. Goods, records, workstations and collection must all be ready.

This plan is for smaller online shop warehouses holding ordinary dry goods in Germany. Cold chains, dangerous goods and specialist production or automated installations need their own professional planning. Record affected product groups, sites, packing units and the work you actually want to commission.

Name owners and deputies for stock, customer orders, warehouse operations and the shop system. Internal management decides when particular areas must stop picking or shipping and when the new location can open. Parcel collection slots, new deliveries and reachable contacts belong in the same schedule.

  • Agree which orders will still be completed at the old site before the move.
  • Decide whether new orders will queue, be handled on a limited basis or have certain stock temporarily removed from sale.
  • Check displayed dispatch and processing times against what the operation can deliver; manage affected existing orders individually.

2. Distinguish the stock snapshot from sellable quantity

Create a dated stock record at an agreed time for each SKU, variant and storage location. Record subsequent picks, dispatches, returns, receipts and transfers as movements. An old export does not remain current without those updates.

Shopify's documentation distinguishes, for example, on-hand, available, committed and incoming quantities. Check the terminology and automation in the system actually used. Moving goods between sites must not cause the same sellable quantity to be offered at both locations.

This invented calculation concerns one variant: the 18 reserved and 5 blocked units are already included in the 120 counted units and do not overlap. No other stock categories are included here. It is not a client case or a universal posting formula.

3. Manage orders, returns and incoming goods separately

Assign every open order to a responsible person or team and a dispatch location. Changing warehouse location neither cancels an order nor proves it has shipped. Packed customer parcels must remain clearly identifiable and separate from moving units.

Agree delivery and return addresses and receiving windows for the transition with the relevant people and providers. Put returns and new goods into the appropriate stock only after the planned checks and recording.

4. Prepare destination locations, systems and safe work areas

Set clear location codes and areas for receipts, inspection, sellable stock, blocked stock and dispatch. Unresolved quantities need a visibly separate area. This helps prevent an arriving unit from being picked immediately by mistake.

The responsible people must establish rack installation, permitted loads and suitable load carriers before use. DGUV Information 208-061 covers their safe operation, including construction, operation and inspection. An empty warehouse alone does not establish usable storage locations.

With IT, check login, networking, stock software, scanners and required printing. Assign location and shipping configurations to responsible specialists. New processes should work with an approved test transaction before real orders are switched over.

  • Put confirmed destination codes in place before the first delivery.
  • Keep picking, handling and walking routes clear and suited to the workflow.
  • Commission installation and technical changes separately from transport alone.
  • Keep contacts needed for incidents and decisions reachable during the moving window.

5. Connect product stock to the transport inventory

One SKU may be split across several cartons; one carton may contain several variants. Give every transport unit a unique ID and record its SKUs, variants and quantities. Mixed units need a clear contents mapping.

For the transport quote, also record actual outside dimensions, weights, packaging and access. Unit counts in the shop system describe neither vehicle space nor handling weight. Rack parts, packing benches and equipment belong in the list as separate transport items.

For internal relocation, use appropriate unit IDs and destination codes instead of old customer shipping labels. Quote photos need only the relevant packaging, equipment and access details; order lists and customer data do not need to be visible.

  • Keep sellable, reserved and blocked goods clearly assigned while packing.
  • Update the register when packing units change or quantities are split, before handover.
  • Confirm collection and destination, floors, loading access, routes and agreed handling equipment.
  • Agree packaging and load requirements with the company actually doing the work.

6. Record movements and reconcile actual receipts

Do not erase a discrepancy by overwriting an unchecked balance. Check counts, movements, variants and partial shipments; the responsible person decides the correction and release for the affected line.

Connect departure and receipt for every transport stage to packing IDs and product quantities. Follow the transfer documentation for your system: Shopify, for example, supports partial receipts. An expected arrival is different from a quantity actually received.

Continuing the invented example in section 2: before collection, 12 of the 18 reserved units are actually dispatched to customers. There are no other incoming or outgoing movements. The remaining 108 units are due to move, including 6 still reserved and 5 blocked units. Only 107 units are counted on arrival.

Counted opening stock120Snapshot time and variant
Actually dispatched to customers beforehand−12Related orders and dispatch movement
Expected transfer quantity108120 − 12; packing units and destination
Actually counted at destination107Receipt, time and checker
Unresolved difference−1107 − 108; cause not yet established

7. Release sales and shipping at the new site through checks

For each affected product line, confirm which quantity has been counted, assigned and approved for its intended use. Reserved or blocked quantities keep their corresponding treatment. Unresolved or in-transit goods do not become available simply because an arrival is planned.

Use an approved test transaction to check the path from order through stock and storage location to the intended shipping process. Internal approval includes owners, working technology and confirmed parcel collection. A working shop homepage alone is not enough.

  • Check open-order reservations against the quantities actually assigned.
  • Test location assignment and stock reconciliation between the shop, stock software and connected sales channels.
  • Check required scanning, packing and printing functions plus shipping and return details.
  • Assign outstanding faults to owners and review dates; manage the affected orders specifically.
  • Release stock for new sales only to the extent internally approved.

8. Close outstanding items and enquire about suitable transport

Keep the snapshot, movement records, handovers and approvals together in a traceable form. At the old site, check return areas, dispatch points and later deliveries too. Close outstanding items only after the agreed reconciliation.

Umzughilfen is a marketing and referral service based in Idstein for moving enquiries in the Rhine-Main area. Describe transport quantities, packaging, weights, access and operating windows. The selected independent partner confirms availability and scope; ongoing fulfilment and shop-system changes are not automatically part of a transport booking.

The quote, contract, work, invoice and payment are handled directly with the company named in advance. Rack work, IT and specialist goods handling must be expressly agreed with suitable providers. Umzughilfen remains responsible for its own referral and data-protection duties.

Questions about moving an online shop's warehouse

Must the online shop close during the warehouse move?

That depends on the planned operation and systems. Options include an order queue, limited product ranges or a shipping pause. Traceable reservations, realistic displayed processing times and management of existing orders are essential.

Is counted stock automatically sellable?

No. Reserved, blocked or uninspected quantities can be physically present without being available for new sales. Establish the stock categories and their recording in the system actually used.

Is the carton count enough to reconcile stock?

No. Cartons and product quantities are different measures. Link packing IDs to SKUs, variants and unit counts, then reconcile departure, movements and actual receipt.

What should happen if quantities differ on arrival?

Identify the affected line and check counts, variants, dispatches, returns and partial shipments. An owner records the cause, required correction and release. Do not conceal the discrepancy with an unexplained stock adjustment.

Does the moving partner automatically handle the shop and stock software?

No. Transport, picking, ongoing shipping, system changes and rack assembly need separate descriptions. Expressly commission the services actually required and name internal owners and suitable specialists.
